How We Help Tendering Teams Own Their Data and Empower Their Workflow

Zachary KhaiFounderSep 20, 2026

There is a moment that happens in almost every construction firm after a tender closes.

The bids stop coming in. The site walks are done. The award is made. And then, quietly, without anyone noticing, every piece of intelligence that tender generated disappears.

The email threads get archived. The WhatsApp messages scroll out of view. The Excel spreadsheets sit in someone's personal drive. And the next tender starts from scratch.

This is the problem we built Buildsbe to solve. Not a technology problem. An institutional knowledge problem.

What tendering teams actually generate

A single construction tender generates an extraordinary amount of intelligence. Which subcontractors responded. Who attended the site walk and who did not. What the winning bid value was relative to the others. What the site coordinator observed about each subcontractor's team on the day.

This is a detailed picture of the subcontractor market, the competitiveness of specific trades, and the quality of the firm's own procurement process. The kind of intelligence a commercial director would pay significant money to have.

And yet in most construction firms none of it is captured, not because teams are careless, but because the tools they use were never designed to capture it. When you run a tender across eleven disconnected platforms you do not get a data asset at the end. You get an archive of activity that nobody can search, analyse or learn from.

Why nobody solved this before

The construction technology market has approached this problem from the wrong end.

Project management platforms start after the award is made. By the time a project enters these tools the tender intelligence is already gone. Tender portals do a good job of connecting buyers and sellers but stop at the connection. Once a bid is submitted it follows the same path as everything else, into an inbox, and then into the void.

What the market was missing was a layer that sits between the marketplace and the project management tool. A layer that captures everything that happens during the tender and turns it into something the organisation can own and build on.

That is the layer we built.

What we decided to do

When we built Buildsbe the question we kept returning to was not how do we make tendering faster, though we do that. It was how do we make sure every tender a firm runs makes the next one better.

The answer was to design the platform around data capture from the ground up. Every action a team takes during a tender generates a permanent structured record. A bid arrives, it is analysed, scored and stored. A site walk happens, attendance and the coordinator's assessment are logged against the subcontractor's profile. An award is made, the rationale and comparison are recorded alongside every bid considered.

None of this requires the team to do anything extra. The difference is that Buildsbe captures everything as structured data rather than letting it disappear into an email thread.

Over time this creates something no construction firm currently has, a complete, searchable record of every tender they have ever run. Who bid on what. Who performed. Where the process was efficient and where it was not.

Why it matters

The firms that consistently make better procurement decisions are not the ones with better instincts. They are the ones with better information.

The intelligence that currently exists only in the heads of senior people who have been at a firm for twenty years, when those people retire, that knowledge goes with them. On Buildsbe, it stays.

We built this platform because we believe the construction firms that will perform best over the next decade will be the ones that learn fastest, from every tender they run, every bid they receive, every subcontractor they work with.

Buildsbe exists to make that learning automatic.
